Advertising deposit, balance and top-up: follow the money

A deposit is a payment allocated to advertising. A balance is a position at a particular time. A top-up adds funds later. Keeping those three ideas separate helps you understand what has been paid, what advertising has consumed and what is still available under the account arrangement.

Create a starting record

Before sending funds, obtain the quoted amount, currency, recipient, payment method and intended allocation. Record the service fee separately. Ask when the advertising funds become usable and where you will see the corresponding balance.

For Elite Ecom’s single-account offer, the minimum advertising deposit is $1,000 and the first-month service fee is $1. The minimum initial amount is therefore $1,001 before applicable taxes or other disclosed fees. The deposit is not the subscription price and does not remove the minimum service commitment.

Reconcile movements instead of comparing screenshots

Use a ledger with opening balance, funding credited, advertising consumption, adjustments and closing balance. Record dates in the same time zone and keep the currency consistent. If a statement uses a different reporting period, align the periods before concluding that money is missing.

A fictional example: $1,000 opening advertising funds plus a $500 credited top-up, minus $350 of recorded ad consumption, leaves $1,150 before other documented adjustments. A separately charged subscription should not be subtracted again unless it actually appears in that funding ledger.

Make top-up timing explicit

Ask what proof is required to match a transfer, whether processing depends on the payment method and how delays are communicated. A transfer sent by your bank is not necessarily the same event as funds credited to the advertising arrangement.

If a payment is not visible, send the amount, currency, date and transaction reference through the verified support channel. Do not send bank login information, wallet recovery phrases or private keys. Request a reconciliation rather than repeatedly paying the same amount.

Clarify unused funds before funding

Ask how an unused balance is handled on cancellation or an account incident. Record any applicable conditions, fees and processing steps. Never assume that advertising funds are automatically withdrawable or refundable because they are called a deposit.

  • Who holds and records the funds?
  • What confirms that a transfer has been credited?
  • How is consumption reported?
  • Which adjustments can reduce the balance?
  • What written conditions apply to unused funds?

Keep a service and media record side by side

One sheet can track subscription invoices; another can track advertising funding and consumption. This avoids counting a top-up as both a service cost and a separate advertising expense. Your accountant can determine the correct treatment for your business.

For an Elite Ecom arrangement, confirm the current funding process and quote on Telegram. Funding enables your campaigns; campaign budgets and actual delivery still need to be managed by your team.
